12 reasons to replace Excel for managing industrial quality

Excel is everywhere in industrial quality. It is free, familiar, immediately available, and for a long time it got the job done. That is precisely what makes it so difficult to move away from. But managing quality on Excel means accumulating invisible friction. Files circulating by email, multiplying versions, formulas silently breaking, and data that is impossible to consolidate across sites. None of these pain points is a showstopper on its own. Together, they end up costing a considerable amount of time and undermining the very reliability of the quality data on which high-stakes decisions depend. Here are, point by point, twelve concrete reasons why Excel reaches its limits as soon as industrial quality increases in demand and pace.

    Why change, point by point

    1. Search only works using identical keywords

Ctrl+F finds an exact string of characters, nothing more. A defect described as "excessive play on pivot" in one file and "tolerance exceeded on rotation axis" in another will never be linked, even if it is the same problem. In Yxir, search is contextual, in everyday language, across all previously entered data: it finds a similar case even if worded differently.

    2. Files circulate by email, with all the risks that involves

A quality tracking file sent by email becomes just another attachment, potentially forwarded to unintended recipients, stored on local machines, and difficult to secure. In Yxir, data remains in a single, centralised workspace, with role-based permissions, without ever passing through email.

    3. Versions multiply without a single source of truth

"NC_tracking_v2.xlsx", "NC_tracking_v2_Marie.xlsx", "NC_tracking_FINAL.xlsx": no one is certain they are working on the correct version, and local updates made by a colleague do not appear anywhere else until they resend their file. In Yxir, each file exists as a single copy, updated in real time by all contributors.

    4. Images and PDFs do not integrate natively

A photo of a defect, an inspection report, a technical drawing: in Excel, these elements remain separate files, stored elsewhere, linked to the file only by a manually typed filename in a cell, if someone remembers to do so. In Yxir, photos, PDFs and documents are attached directly to the file, accessible and analysed in the same place.

    5. Reporting is done manually, every single time

Building a monthly tracking chart means copying or re-aggregating data from multiple files, recreating the same graphs, and double-checking the same totals, without this work serving any purpose for the following month. In Yxir, dashboards are built once and update automatically with each new piece of data entered.

    6. True analysis requires using Power BI

As soon as the need goes beyond a simple graph (multi-criteria cross-referencing, multi-month trends, inter-site comparison), Excel alone is no longer enough. You have to export data, connect a BI tool, and maintain connectors. In Yxir, graphs and data cross-referencing are native to the tool, with no export steps or third-party tools required.

    7. Formulas break silently

An inserted row, a moved cell, a modified reference, and a downstream formula can break without any visible error message. The figure remains displayed, simply incorrect, until someone notices it during manual cross-checking. In Yxir, data and calculations are structured by the system, without relying on fragile formulas maintained by a single person who understands them.

    8. Updating a file takes time, every time

Finding the right file, the right row, checking that you are not modifying an obsolete version, re-entering a status already changed elsewhere: each update adds friction that has nothing to do with resolving the actual problem. In Yxir, updates are made directly to the relevant file, instantly visible to everyone.

    9. No notifications, no automatic follow-up

When a file is assigned to someone in an Excel column, nothing alerts them. You have to send a separate email, or hope they check the file. In Yxir, assignment triggers an automatic notification, and reminders are sent within the tool rather than via a separate email.

    10. No reliable traceability of modifications

Who changed this status, when, why: on a shared file, this information exists nowhere, unless someone took care to save timestamped copies. In the event of an audit, reconstructing the actual history becomes an exercise in itself. In Yxir, every modification is natively logged in the history, viewable and restorable at any time.

    11. Nothing is standardised between sites or teams

Each site, sometimes each person, builds their own file with their own columns, their own statuses, their own logic. Comparing or consolidating between sites becomes a manual reconstruction effort before you even begin the analysis. In Yxir, the structure is common to all contributors, making consolidation immediate.

    12. No realistic mobile or field access

Viewing or updating an Excel file from a workshop, phone or tablet remains highly impractical. Consequently, information is often uploaded late, once back at a fixed workstation. In Yxir, access is possible from any device, allowing a discrepancy to be documented at the moment it is observed.

How the switch works, in practice
    1. Import of existing history: existing Excel files, 8D reports, QRQCs and complaints already produced are retrieved without manual re-entry.

    2. Configuration of quality spaces tailored to the actual processes of the site (concessions, production discrepancies, complaints), not to a generic standard.

    3. Data learning phase, lasting between 3 and 6 weeks, during which Atom learns business-specific vocabulary and internal procedures.

    4. Team training: a 4-hour video training course and a Q&A session with a Yxir expert.

    5. First results visible from the very first cases processed, without waiting for the end of the roll-out to see the benefit.
